Santa Claus Parade Application

Rules and Regulations

  • The 2023 Ajax Santa Claus Parade begins at the intersection of Bayly St. and Mackenzie Ave. and will proceed east along Bayly St. The parade will continue north on Harwood Ave., in the southbound lanes concluding at Ajax Town Hall (Bayly St. and Achilles Rd.)
  • The Organizing Committee reserves the right to select participants that are best suited to the event. If selected, you will be sent a participation confirmation with instructions on how to submit payment and the required documentation. Failure to provide this by the specified date could result in your group being unable to participate in the Parade.
  • No refunds will be issued under any circumstances.
  • One week prior to the Parade, confirmed participants will receive an Orientation Package that outlines all pertinent details required for Parade day.
  • Participants are asked to incorporate the theme (Spectacle of Lights) when dressing their walking group or designing their float. Commercial motorized vehicles must be decorated as a float. Participants not in compliance may be asked to withdraw from the Parade.
  • Participants are not allowed to solicit or distribute coupons, novelties or advertisements of any kind.
  • If handing out a candy giveaway, please ensure that nothing is thrown into the crowd or is attached to any additional promotional material or information, flyers promoting businesses, organizations or religious beliefs.
  • There is to be only one Santa Claus and Mrs. Claus, therefore, your float should not depict Santa, Santa’s Workshop or Mrs. Claus.
  • No participant or costume may depict anything political, controversial or otherwise offensive within the sole discretion of the Organizing Committee.
  • The Town of Ajax is committed to promoting a smoke-free environment. In accordance with the Smoke-Free Policy, smoking is not permitted on the Parade route, including cannabis and vaping. We ask all participants to follow this policy. 

Failure to abide by these rules may result in the removal from the festival or event.

Festival and Event - Insurance and Liability

The Business or Organization shall indemnify and save harmless the Town of Ajax, its employees, officers and agents, from, and against any and all claims, actions, losses, expenses, costs, demands, suits or damages of every nature and kind whatsoever arising out of or as a result of the actions of the Business or Organization, its agents or employees in the performance of this agreement.

The Business or Organization agrees to provide a Certificate of Insurance issued by an insurance company authorized by the law to carry on business in the Province of Ontario. Such policy shall have inclusive limits of not less than $5 million for bodily injury and property damage. The Town of Ajax must be named as an “additional insured” on the certificate. A copy of the insurance certificate must be submitted within 2 weeks upon confirmation of your participation at a Town of Ajax event.

Entrants putting a vehicle in the Parade must state their automobile coverage on their insurance form provided or proof of insurance upon rental (i.e. Penske flatbeds etc.)

Entry Fees

Please Note: Entry fees go toward Parade costs including marching bands, Parade enhancements and other operational costs. All prices are inclusive of HST.

Vehicle Registration

There is a maximum of two vehicles allowed in the staging area. Please list the following information for the vehicles you will be using for the parade as no other cars will be permitted.

Float Vehicle #1

If you do not have a vehicle please include the name of your group for all fields. If left blank, application will not be able to be submitted. 

Vehicle # 2

Float registration can include up to two vehicles per registration, however; both vehicles must participate in the parade. If a vehicle is being used only as transportation to the parade it must find parking in a designated parking zone. All vehicles left in the loading zone during the parade whether registered or not will be ticketed at the owner's expense.

 

Please Note: Insurance for all parade vehicles MUST be provided by the Entrant and cannot be purchased through the Town of Ajax. 

Collection of Personal Information

Personal information on this form is collected under the authority of the Municipal Act, 2001, S.O. 2001, C.25, and will be used for selecting and administering the 2023 Santas Spectacle of Lights Float application.
